Adexen Recruitment Agency is looking for a Senior Management Secretary for an international Oil & Gas company involved in multiple projects within Nigeria and outside the country both offshore and onshore.Job description
The ideal candidate will be responsible for:- A wide range of administrative and executive support related task.
- Supervises other administrative/secretarial staffs as required.
- Lead others who provide administrative support.
- Understanding and providing support to the management team HSEQ and emergency response responsibility.
The position is based in Lagos.
Responsibilities
- Interprets company policies, anticipates and prepares materials needed by the management team for conferences, correspondence, appointments, meetings, telephone calls e.t.c and informs management on matters to be considered.
- Composes and signs and releases a variety of correspondence and communications on behalf of the management team.
- Answers phones and directs all incoming calls to appropriate party promptly and efficiently.
- Assist in recording of Management Site Visits, Lessons Learnt, Site Sponsor and activities.
- Reviews and summarises miscellaneous reports and documents; preparing background documents and outgoing mail as necessary.
- Communicates and handles incoming and outgoing electronic communications on behalf of the team.
- Organises and maintains confidential information.
- Manage inboxes and calendars as necessary.
- Will be required to research and prepare reports, brief and meeting notes.
- Operates autonomously and keeps the management teams operations functioning efficiently and even during travel periods.
- Interacts with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.
- Will act on behalf of the management team as specifically delegated while complying with company authority matrix
- Responsible for interacting with management team, between country & territory org as well as Executive management
Qualifications et experience
- University degree in Business or social course or HND in Secretarial studies.
- A Masters degree will be an added advantage.
- Minimum of 5yrs experience on a similar role.
- Excellent dairy management skills, including the co ordination of meetings and teleconferences.
- Experience in scheduling travel arrangements for management.
- Strong knowledge of proprietary MS Office software, including Word, Excel, PowerPoint and Outlook.
- Capacity to adapt quickly to changing situations.
- Good communications and organisational skills.
- Ability to work under practically no direction or supervision.
- Strong decision ability and interaction with senior staff at all levels
- Must be detailed with a high level of professionalism and confidentiality
- Must be resourceful, proactive, flexible and efficient.
